Employer HQ (“we”, “us” or “our”) collects, holds, uses and discloses personal information to respond to enquiries and provide our services. This policy explains how we handle information submitted through this marketing website. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where applicable.
2. Information we collect
When you contact us or submit a membership enquiry, we collect the details you provide, including your name, position, business name, ABN, email address, optional phone number, industry, team size and message. This also applies to call and health-check requests. We record the privacy consent wording and copy version, submission time and a reference for the enquiry.
When you request a public resource download, we collect your email address and record the resource version, privacy consent wording, submission time and request reference. A temporary download link gives you access to the requested PDF.
Our website infrastructure processes technical information needed to serve and protect the site. We use hashed identifiers derived from your IP address and email address to limit repeated form submissions. Please do not include employee health information, union membership details or other sensitive or confidential information in website enquiry forms.
3. How we use your information
- To respond to your enquiry and discuss the services you requested.
- To provide the public resource download you requested.
- To assess membership suitability and organise onboarding if you choose to join.
- To keep administrative records, prevent duplicate submissions and protect the website from abuse.

Submitting an enquiry or requesting a download does not subscribe you to a marketing mailing list. We ask separately if we wish to use your details for another purpose requiring consent.
4. Storage and service providers
The website and client management platform share the Employer HQ application. Website enquiries are stored in its Supabase database for the team to review. Public resource requests are recorded separately in the same database and are available only to authorised website managers. The application uses Netlify hosting and Resend for configured email delivery.
Information may be handled by authorised team members, contractors and professional advisers where needed to operate our business. Some providers process information outside Australia, including in the United States. We take reasonable steps to protect information handled by our service providers and do not sell your personal information.
5. Cookies and analytics
Employer HQ uses Google Analytics 4 on this website to understand how visitors find and use our pages. It sets analytics cookies and collects usage information such as the pages viewed, the approximate location (city level) and the device and browser type. Google truncates IP addresses before storing them and we do not use advertising pixels or sell this information. You can opt out with Google's browser add-on at tools.google.com/dlpage/gaoptout or by blocking cookies in your browser; the website still works without them. The hosting platform may also use essential security or sign-in cookies, particularly for private previews. Links to the Employer HQ portal or external sites may take you to services with their own cookies and privacy practices.
Embedded videos are provided by YouTube using its privacy-enhanced mode. Loading or playing a video connects your browser to YouTube, which handles information under its own privacy practices.
6. Security and retention
We take reasonable technical and organisational steps to protect personal information from misuse, loss and unauthorised access. No system can guarantee absolute security. We retain information for as long as needed to respond to enquiries, administer our services and meet legal requirements, and take reasonable steps to delete or de-identify it when no longer required.
7. Access, correction and complaints
You can request access to or correction of information we hold about you, ask us about retention, or raise a privacy concern by emailing hello@employerhq.com.au. We may need to verify your identity. We aim to respond to access requests and complaints within 30 days, subject to applicable requirements.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner.
